The Archive is operated by ArchiveHub ("we", "us"). We are the data controller for the personal data described in this notice. Questions? Contact us through the support address shown at checkout or in your receipt.

What we collect and why

  • Account data (email address, login credentials, and authentication identifiers) — to create and secure your account. Legal basis: performance of our contract with you.
  • Content you enter (entries, notes, dates, costs, family/pet profiles, vehicle and home records, uploaded photos and receipts) — to provide the service and show it back to you and any household member you invite. Legal basis: contract.
  • Household and invitation data (invitee email addresses, membership records) — to enable sharing with a partner you choose. Legal basis: contract.
  • Usage and technical data (device identifiers, IP address, log and error data) — for security, fraud prevention, and improving reliability. Legal basis: legitimate interests.
  • Support messages you send us — to answer you. Legal basis: legitimate interests.

We do not sell your personal data, and we do not use your entries for advertising.

Who we share it with

  • Household members you invite — they can view and edit shared entries by design.
  • Service providers / subprocessors that host the application, store data and files, send transactional email, and provide AI-assisted features (such as reading a book cover you upload).
  • Paddle.com, our Merchant of Record, for sale of subscriptions, billing, subscription management, tax compliance, and invoicing.
  • Professional advisers (legal, accounting) and authorities where required by law.

International transfers

Our providers may process data outside your country, including in the United States. Where data leaves the UK/EEA we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.

Retention

We keep your account and content for as long as your account is active. If you delete your account or ask us to delete your data, we remove or anonymise it within a reasonable period, except where we must keep records to meet legal, tax, or accounting obligations.

Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or port your personal data, to object to processing based on legitimate interests, and to withdraw consent at any time. If you are in the UK or EEA you may also complain to your supervisory authority. We aim to respond within one month.

Security

We use appropriate technical and organisational measures, including encryption in transit, access controls, and row-level database rules so that only you and the household members you invite can read your records. No system is perfectly secure, but we take these obligations seriously.

Cookies

We use essential cookies and browser storage to keep you signed in and remember your display preferences. We do not use advertising cookies. You can clear or block cookies in your browser, though the app will not work signed-in without the essential ones.

We may update this notice; material changes will be reflected in the date above.
